Window cleaner business landline

A Window Cleaner Business Landline That Adds Customers to the Round While Your Hands Are Wet

A window cleaner's phone rings at the one moment it cannot be answered: ten past ten on a Tuesday, pole up, hands wet, phone in the van two houses back. The person ringing has seen the van on their street and wants to join the round, and if nobody picks up they ring the next cleaner on Google instead. A window cleaner business landline gives you a local number that rings your mobile between streets, and an AI receptionist that answers in your business name when you are on the glass: it takes the house, the gate, the frequency and the postcode, gives your from-price if you have set one, explains pure water and the first clean in your words, and texts you the lot so you decide in the van whether the street fits the round. AI answering is £19.99 a month, no contract.

Two Kinds of Call, One Phone in the Van

Most calls to a window cleaner come from people who already pay you, and they are short: a gate, a skip, a holiday. A few come from people who want to start paying you, and those are the ones that build a round. The AI treats the two differently, and it is honest about the one thing it cannot know, which is your round.

From people already on the round

Taken, texted to you, nothing promised that only you can do.
"Skip us this month, the decorators are in."
Texted to youAddress and the month logged. You take them off the run; the AI does not hold your round list, so it never claims to have changed it.
"The side gate's bolted today, sorry, the bins are out."
Texted to youReaches you before you pull up, which is the difference between doing the front and driving on, and doing both.
"I was out, how do I pay you?"
AnsweredYour payment line, as you have set it: bank transfer, direct debit or a card link, and where the details are. No account numbers read out over the phone.
"Were you here today? The back's not been done."
Texted to youAn apology in your words, the facts taken, a call back promised for today. You reply from the dashboard from the van.
"We've moved to Prestbury, can you still do us?"
Texted to youNew address and postcode taken. Whether Prestbury is on the round is your call, and the AI says so.

From people who want to join it

Taken properly, priced from your list where you allow it, booked where you allow it.
"Do you do Larkfield Avenue? What do you charge for a semi?"
Texted to youProperty, front and back, gate, dog, frequency, your from-price. Postcode in the first line so you can see at a glance if it fits the round.
"We've just moved in and they haven't been done in a year."
BookedExplained as a first clean, with the spotting caveat and your first-clean price if you charge one, and booked into a slot you allow.
"I run five shops and need the fronts done before we open."
EmailedSites, hours, inside and out, invoicing, insurance and RAMS, and a walk-round booked before opening time.
"Can you do the gutters while you're there?"
Texted to youTaken as its own job: storeys, whether they overflow, access for the vac. Priced on the phone only if you have set a gutter price.
"It's a site manager, forty new builds, show-home standard before handover."
Put throughA builders' clean worth a month of Tuesdays. Flagged as commercial and put straight through to you, brief emailed if you cannot take it.

What the missed call actually costs

Your prices, not ours. The point is the multiplication: a round customer is not one clean, it is a slot on the round for years.

Three Calls to a Window Cleaner, Answered From the Top of the Pole

Kestrel Window Cleaning is made up; Lee, its one van and its round of a few hundred houses are the kind every town has. Here is what three callers heard, and what Lee found on his phone when he got back to the van.

Call 1: "Do you do Larkfield Avenue? What do you charge for a semi?" Tuesday, 10:04am

AI receptionist
AI receptionistGood morning, Kestrel Window Cleaning, Grace speaking. How can I help?
Caller
CallerHi, I've seen your van on Larkfield Avenue a few times. Do you do that road? We're at number 12, it's a semi. What would you charge?
AI receptionist
AI receptionistWe cover Tytherington, so very likely. For a three-bedroom semi, front and back, every four weeks, it's from £15 a clean, and Lee confirms the exact price the first time he sees the house. Is it front and back you'd want?
Caller
CallerYes, both. There's a side gate but we keep it locked, and we've got a dog.
AI receptionist
AI receptionistThat's fine. On clean days you'd either leave the gate unbolted or give Lee a padlock code, and he always knocks before going through where there's a dog. Is there anything out of the ordinary on the house, a conservatory, a dormer, roof windows?
Caller
CallerA conservatory at the back. The roof's gone green, to be honest.
AI receptionist
AI receptionistThe conservatory sides are part of the regular clean. The roof is a separate job that Lee prices when he's there, usually once or twice a year. Would you want the windows every four weeks or every eight?
Caller
CallerFour, I think. Do I need to be in?
AI receptionist
AI receptionistNo. Lee cleans, puts a slip through the door, and you pay by bank transfer or direct debit, whichever suits you. Can I take your name and postcode? Lee will text you the day he's next on Larkfield Avenue and the confirmed price.
Caller
CallerClaire Dunn, 12 Larkfield Avenue, SK10 2QT. 07700 900341.
AI receptionist
AI receptionistThanks Claire. You'll hear from Lee by text, and your first clean will be on his next pass down your road.

Two minutes. The one thing the AI could not know, which day you are on Larkfield Avenue, is the one thing left for you: a text from the van, sent from the dashboard, and the customer is on the round.

Call 2: "Were you here today? The front's done but the back isn't." 2:15pm

AI receptionist
AI receptionistKestrel Window Cleaning, Grace speaking.
Caller
CallerIt's Mr Hughes at 40 Bollin Grove. Your lad's been today. The front's done but the back hasn't been touched, and I'm not paying full price for half a job.
AI receptionist
AI receptionistI'm sorry about that, Mr Hughes, and you shouldn't have to. Let me take the details so Lee can ring you back today. It's 40 Bollin Grove; is the back reached through the side gate?
Caller
CallerYes, through the gate. It might have been bolted, now I think about it. My wife had the bins out this morning.
AI receptionist
AI receptionistThat may be what happened, and it's easily put right either way. I'll pass this to Lee now. He'll ring you this afternoon to arrange coming back for the rear windows and to sort the price with you. Is this the best number for you?
Caller
CallerIt is. Fine. As long as it gets done.
AI receptionist
AI receptionistIt will be. Thank you for ringing rather than leaving it.

Hi Mr Hughes, Lee from Kestrel. The gate was bolted this morning so I couldn't get round. I'll be back Thursday morning for the rear, no extra charge, and this month is down to the front-only price. Sorry for the bother.

Call 3: Five coffee shops, fortnightly, done before they open

AI receptionist
AI receptionistKestrel Window Cleaning, Grace speaking.
Caller
CallerHi, it's Nadia Shaw, I look after operations for Copperpot Coffee. We've five shops, Macclesfield, Wilmslow, Knutsford, Stockport and Altrincham, and our window cleaner has packed in. We need the fronts done fortnightly before we open at seven, and the insides once a month.
AI receptionist
AI receptionistThank you, Nadia, that's work we do. Are they all glass shopfronts at ground level, and do any have signage or canopies that need doing with them?
Caller
CallerAll ground floor, big frontages. Three have fascia signs that get filthy.
AI receptionist
AI receptionistNoted: fortnightly outside before seven, monthly inside, fascia signs on three. How would you want it invoiced, per shop or one monthly invoice for the five, and does anything need to come with the quote?
Caller
CallerOne monthly invoice. And we'll need your insurance and a RAMS for head office.
AI receptionist
AI receptionistLee can meet you at one of the shops early so he sees the frontage before opening. He's free Monday at quarter to seven. Which shop?
Caller
CallerMacclesfield, Mill Street. Monday's fine. My number's 0161 496 0725.
AI receptionist
AI receptionistBooked: Monday the 20th, 6:45am, Mill Street. If you email the five addresses to rounds@kestrelwindows.co.uk, Lee will price all five from that visit. Thank you, Nadia.

80 seconds. Five sites that pay monthly by invoice, the two documents head office will ask for, and a quarter-to-seven walk-round booked while you were doing a three-storey townhouse.

03 · The weather lines

"Do You Still Come in the Rain?"

The most common question a window cleaner is ever asked, and the hardest to answer from the top of a pole with water running down your sleeve. The AI gives your answer, in your words, every time it is asked. These are the four lines most pure-water cleaners give it; you set yours.

Rain
"It's raining, are you still coming?"

What the AI says: yes. Pure water has nothing dissolved in it and no detergent, so rain on freshly cleaned glass dries clear exactly as the rinse does. The round runs as normal unless it is torrential, and then it slips a day.

Wind
"It's blowing a gale, is it safe?"

What the AI says: above the wind speed you set, the pole stays in the van, because a thirty-foot pole in a gust is not something anyone should be holding. The round slips a day and nobody is skipped; everyone is done in order when it drops.

Frost
"It's minus three, will it freeze on the glass?"

What the AI says: below freezing the water would ice on the glass, so the day starts later, once it is above zero, and sunny fronts are done before shaded backs. A hard-frost week means the round runs a little behind, and it catches up.

Heat
"It's thirty degrees, won't it dry in streaks?"

What the AI says: hot glass dries before it has finished rinsing, so in a heatwave the round starts at six, shaded sides go first, and every pane gets a longer final rinse. Same price, same clean, earlier knock on the door.

What the AI never does is promise a day it cannot know. If the question is "are you coming to us tomorrow?", it says that Lee will text, and texts Lee the question. Your round lives in your round software, your diary or your head, and the AI is honest about that rather than guessing.

04 · First-time customers

Pure Water, the First Clean and the Locked Gate

Three things a new customer does not know and a window cleaner is tired of explaining from a ladder. The AI explains them on the first call, in the words you give it, so the first visit goes the way you expect.

"Will it leave streaks?"

Pure water, no detergent

The AI explains the reach-and-wash system in a sentence: the water is purified until nothing is dissolved in it, the frames and sills are scrubbed first, the glass is rinsed and left wet on purpose, and it dries without spots because there is nothing in the water to leave one. The customer stops expecting a chamois and a bucket, and stops ringing to say the windows were left wet.

"They haven't been done in a year."

The first-clean rule

Glass that was last cleaned with soap, or not at all, can show spotting after the first pure-water clean as the old residue lifts; by the second clean it is clear. The AI says so before the first visit, and quotes your first-clean price if you charge one. It is the explanation that stops a new customer deciding you did a bad job before you have done a second.

"Do I need to be in?"

The gate, the dog and the slip

No. The AI asks how the back is reached and writes the answer on the card: gate unbolted on clean days, a padlock code, a key safe, or front only. It asks about dogs. It tells the customer a slip goes through the door and gives your payment line, bank transfer, direct debit or a card link, without reading out account details over the phone.

A business landline for window cleaners is also the number on the van, the leaflets and the slip, and it is portable: the one already on the van moves across and keeps working. On Lite you get two numbers, so the van can carry one and the leaflets another, and the dashboard shows which one each new customer rang.

05 · Beyond the glass

Gutters, Conservatory Roofs and the Other Add-Ons

Half the money on a round is in the jobs that are not windows. Each one is taken as its own job with the questions you would ask, and only the ones you have put a fixed price on are priced over the phone.

Gutter clearing

October to December

The AI asks: how many storeys, whether the gutters overflow when it rains, whether there are trees overhanging, and whether the vac can reach from the ground all the way round. Booked as a quote or, if you allow it, straight in at your per-house gutter price.

Conservatory roof

Spring and autumn

The AI asks: roughly how big, glass or polycarbonate, how green it is, and whether there is access to the back with a ladder. Always a look first; a roof clean is priced when you have seen the panels.

Fascias, soffits and cladding

Any time

The AI asks: storeys, uPVC or painted, how long since they were done, and whether the customer wants the gutters' outsides done at the same time. Usually bundled with a gutter clear; taken as a quote visit.

Solar panels

Spring

The AI asks: how many panels, roof-mounted or ground, which way the roof faces and whether there is access for the pole from the garden. A quote visit, because panels on a steep north-facing roof are a different job from six on a bungalow.

Builders' and end-of-build cleans

Any time

The AI asks: how many windows, whether there is render, paint or plaster on the glass, whether stickers are still on, and the handover date. Flagged as commercial, put through to you if you want it, otherwise a quote visit booked.

One-off cleans

Any time

The AI asks: why one-off, a house sale, a party, a landlord between tenants, and whether they would consider the round afterwards. Priced from your one-off rate if you set one, otherwise you ring with a price.

What Window Cleaners Say

★★★★★
Pole up, hands wet, phone in the van: that was every call for ten years. Now a new customer arrives as a text with the postcode in the first line, and I decide in the van whether the street fits the round.
Lee, window cleaner, Macclesfield
★★★★★
"Do you still come in the rain?" was the call I got twenty times a week. The AI gives my answer, in my words, every time. I have stopped explaining pure water from the top of a ladder.
Sarah, pure water window cleaning, Stockport
★★★★★
Skip-me-this-month and the-gate's-bolted calls reach me as texts before I pull up, instead of as a wasted walk to a locked gate with the pole on my shoulder.
Craig, window cleaner, Leeds
★★★★★
A facilities manager rang about six shopfronts while I was on a reach-and-wash job. The AI took the sites, the hours and what they needed with the quote, and booked a walk-round before opening. We got it.
Dan, commercial window cleaning, Birmingham
★★★★★
Three hundred houses and one phone. The AI takes the gate, holiday and skip calls and I get them as a list at lunch. I update the round from the van instead of from memory at nine at night.
Paula, window cleaning round, Bristol
★★★★★
Setting the rain, wind and frost lines took an evening; since then it has just worked. Support were patient with a man who had never set up anything more than a Facebook page.
Mike, window cleaner, Nottingham
★★★★★
The first-clean explanation is the one that used to cost me customers: they saw spotting and thought I had done a bad job. Now they hear it on the first call, before I have been, and the second clean does the rest.
Tom, window cleaner, Cardiff
★★★★★
Autumn gutter calls come in a rush in October, when I am up a ladder for all of them. Every one gets taken with the storeys and the access, and I ring back from the ground with a price.
Gemma, window and gutter cleaning, Sheffield
★★★★★
Customers think I have an office. I have a van and a pole. The landline looks right on the van, and the AI sounds like someone sitting in the office I do not have.
Ryan, window cleaner, Glasgow
★★★★★
Complaint calls were the ones I dreaded. The AI takes them calmly, apologises in my words, and I ring back when I am on the ground with the facts. Nobody gets an argument from a man on a ladder any more.
Jo, window cleaning, Norwich
★★★★★
I wanted to know it would not pretend to know my round. It does not: it takes the postcode and says I will confirm the day. That honesty is why I kept it after the first month.
Steve, window cleaner, Liverpool
★★★★★
Two numbers on Lite: one on the van for the round, one on the leaflets for new customers. The dashboard shows which one each caller rang, so I know which leaflet drop worked.

Questions Window Cleaners Ask About a Business Landline

What is a window cleaner business landline?

A local 01 or 02 number, or a national 03, that belongs to your window cleaning business and rings your mobile wherever the van is parked. There is no box on a wall and no line rental, and a number already painted on the van can be moved across and kept. With the AI receptionist switched on, the calls you cannot take with wet hands are answered as your business: new customers are taken with the house, the gate and the frequency, admin calls from the round are texted to you, and commercial enquiries are briefed and booked.

Can it give a price for a house?

Only the prices you give it. If you set a list by property type and frequency, say a three-bed semi, front and back, four-weekly, from £15, the AI quotes those from-prices exactly as written and says you confirm on the first visit. Anything outside the list, a conservatory roof, a three-storey townhouse, a shopfront, a builders' clean, is a quote visit. If you give it no list, it says you will ring with a price, and texts you the house.

Does it know my round?

No, and it does not pretend to. It takes the postcode, the street and what the caller wants, and you decide in the van whether the house fits the run. "Skip us this month" and "the gate's bolted" calls arrive as texts for you to act on; the round itself stays in your round software, your diary or your head. When a customer asks "are you coming tomorrow?", the AI says you will text them, and texts you the question.

What does it say when it's raining?

Whatever you tell it to. Most pure-water cleaners give it the standard answer, that purified water dries clear in the rain and the round runs unless it is torrential, plus a wind line, a frost line and a heatwave line. You set the wind speed at which the pole stays in the van. The AI gives the same answer to the twentieth caller as to the first, which is more than most of us manage on a wet Wednesday.

Does it explain pure water and the first clean?

Yes, in your words. It tells a new customer that the water is purified, that frames and sills are scrubbed, that the glass is left wet on purpose and dries without spots, and that a first clean on glass last done with soap can spot as the residue lifts and is clear by the second. It quotes your first-clean price if you have one. That explanation, given before the first visit, is the one that keeps a new customer from judging you on clean number one.

Can it handle shops, offices and other commercial work?

Yes. For an operations or facilities caller it takes the sites, the frontages, the hours the work has to be done inside, inside-and-out or outside only, signage and canopies, how it is to be invoiced and what must come with the quote, insurance and a RAMS as a rule. It books a walk-round into a slot you allow, before opening if that is when the work happens, and emails you the brief with the addresses requested. A large builders' clean can be put straight through to you instead.

Can I text my customers from it?

Yes, from the dashboard, using plan credits: 20 SMS and 50 emails a month on Lite. That is for confirming a new customer's day and price, replying to a complaint from the van, or chasing a gate code. It is not a way to text a whole round the night before; a run of three hundred houses needs round software for that, and the two work side by side.

How much does a window cleaner business landline cost?

One van and one round is Lite at £19.99 a month: the AI receptionist, 30 AI minutes, two numbers so the van and the leaflets can differ, and the credits that send the confirmations. Two vans with shop and office contracts is Pro at £79.99, with every call recorded and 250 AI minutes. Starter at £9.99 is a diverted number with voicemail and no AI, so it does none of what this page describes. Everything is month to month, and paying for a year up front is 25% cheaper.
